IT Executive Assistant - PCS Group

Your role will be vital in shaping our IT department. Your wide-ranging tasks will include directing the recruitment process, facilitating daily IT operations, coordinating organizational activities, contributing to software testing, and developing technical documentation.

Key Responsibilities:
Inter Department Communication Support: Ensure seamless IT operations across the organization, maintain the IT communication, and provide assistance to other department.

Recruitment: Oversee the entire recruitment process for the IT department. This includes creating job descriptions, preparing job advertisements, implementing effective sourcing strategies, and managing the recruitment lifecycle.

Candidate Assessment: Conduct preliminary candidate screening, organize and lead interviews, and coordinate technical assessments to ensure we hire the most competent individuals.

Meetings and Coordination: Play a central role in planning, scheduling, and coordinating meetings. Make sure all participants are informed about upcoming commitments and responsibilities.

Document Management: Take responsibility for preparing necessary materials for meetings, maintaining accurate notes, and distributing minutes promptly to all participants.

Appointment making and reminder, both internal or external. Become the bridge.

Basic Software Testing: testing of software as with User point of view. Provide constructive feedback and suggest improvements to the development team.

Action Item Tracking: Keep track of action items from meetings, send timely reminders to relevant individuals, and ensure tasks are completed according to schedule.

Partner Management: Manage relationships with client, partner, and vendor to ensure communication is engaged with specific goal in mind.

Confidentiality: Uphold the company's privacy policies and maintain strict confidentiality of sensitive information.
Minimum 5 years of experience.

Bachelor’s degree in IT or a relevant field.

Proven experience in IT with similar role or related experiences.

Broad knowledge of the IT industry and the requirements of technical roles.

Excellent communication and interpersonal skills.

Proficiency in Google Workspace environment.

Strong organizational and time-management abilities.

Ability to handle sensitive information with utmost confidentiality.

Excellent note-taking and minute-writing skills.

Ability to contribute to technical writing and software testing.

Self-motivated and able to work independently.

Understanding of the concept of programming and testing will be a plus.
